A Closer Look at Administrative Staff – Behind the Scenes of Fresh Seafood Air Exports
Our company is a trading firm specializing in Japanese seafood and fresh fish, exporting mainly to Asia and North America. Internally, we adopt a country-specific responsibility system, where nine administrative staff members are each assigned to specific regions. By having dedicated staff who are well-versed in each destination’s regulations, labeling requirements, and business practices, we ensure consistent and reliable operations.
While we would like to introduce “a day in the life” of our administrative staff, the reality is that daily operations vary greatly depending on each case.
Some shipments are prepared over the course of two weeks, while others require rapid handling—receiving orders on the same day and shipping by air the next day.
Air shipments to each destination are typically scheduled once or twice a week. In addition, container shipments and domestic operations are carried out simultaneously. Even with multiple projects running in parallel, operations proceed smoothly. This is made possible by carefully structured schedules and thorough preparation in advance.
For air shipments, order deadlines vary depending on the destination country. After arranging the products, confirming required documentation, and finalizing export conditions, we prepare detailed packing instructions (referred to as “box allocation sheets”) for the team at Toyosu Market on the day before shipment.
Each box is clearly labeled with its contents, enabling the on-site team to carry out packing operations accurately according to the instructions.

On the day of shipment, the pace of work accelerates dramatically. Administrative staff must prepare the commercial invoice and packing list required for export declaration, while simultaneously confirming actual weights and quantities reported from the site and cross-checking supplier prices and other details.
This is not merely clerical work—it is a precise operation against the clock, requiring both speed and accuracy.
As all documents must be submitted to customs brokers and importers within a limited timeframe, shipment days always carry a certain level of tension.
Once the process begins, time seems to accelerate—and before we know it, the workday has come to an end.
However, the completion of shipment does not mark the end of the work. Important tasks remain.
Afterward, we organize and analyze shipment volumes and sales data for the day, and reflect these insights in the planning of the next shipment. The administrative and sales teams work closely together to continuously improve each shipment and expand business opportunities.
When new products are to be exported, operations shift into a more cautious mode.
From obtaining raw material and processing information from suppliers, to confirming import requirements with overseas clients, and preparing necessary certificates and export labels—every step must be handled with care. At the same time, we must remain flexible in responding to the differing regulatory requirements of each country to ensure full compliance.
In addition, we have implemented a dedicated order management system that allows customers to place orders via both mobile devices and computers. New products are also registered in the system in real time, making the entire ordering process smoother and more efficient.
For communication with overseas customers, we bridge time zone differences by utilizing various familiar communication tools.
Whether it is a last-minute additional order or a specification change, we respond promptly to ensure timely information sharing.
It is through this steady accumulation of precise, everyday efforts that we build a stable supply system and strong relationships of trust.
